A 'people' Identity Directory delivering demonstrable improvements for Information Governance
NHS Information Governance is challenged to deliver improvements for Information Security Access (Information Governance Toolkit IG7 - Item 306, attainment of level 2) at a time when organisations are being challenged to make savings.
It is possible to address both these requirements:
- Improve data security management
- Reduce data security management resource effort and cost
Directory Manager™ is the solution that bridges the Information Governance and Systems Management functions, the provision of a 'people' identity directory solution provides the required platform upon which improvements in Information Governance can be built.

Identity Data Management
Directory Manager's 'people' directory provides the ability to:
- Source 'people' data from multiple systems and or file types e.g.
- NHS Electronic Staff Record (NHS ESR)
- Deaneries and / or Agency staff providers
- Local Service Desk / Telephone Directory solutions
- Third party / Suppliers
- Apply rules to automatically validate data inputs
- Use source specific templates to fill gaps in the data
- Merge data to build a high quality and complete person identity records
- Automated process for ongoing data maintenance / update
The establishment of a qualitative 'people' Identity Directory provides business managers with a valuable knowledge resource to inform decision making on access rights and permission assignment to local data and information systems.
Audit and Reporting
- Auditing data changes (who, what, when)
- Automating notifications (new starters, changes and leavers)
- Cascading audit reports, e.g., line management, security monitoring
- Reporting across organisational teams e.g., departments, job functions
People Data Update and Maintenance
- Automating updates, delivering greater consistency
- Applying template information, maintaining integrity
- Applying manual updates and local rules, increasing accuracy
- Tailoring, to meet requirements of local information governance policy
The establishment of a people directory releases cross organisational benefits,
- through invaluable library of identity information on staff and tertiary human resources, the essential foundation for a better informed Information Governance function;
and
- a sharable knowledge base for data administrators and users, providing information on the human resource roles and functions, underpinning information access rights and data sharing decision making.
With Directory Manager, organisations can achieve attainment of Level 3 - Information Security Assurance (Item 306-IG 7 Toolkit).
Multiple Data Sources
Directory Manager™ manages the integration of multiple data sources containing staff identities, providing the ability to compile a person identity record with data from the most reliable and best maintained sources.
Once data source links are established Directory Manager automatically maintains the identity records providing a continually up-to-date identity.
Apply Data Transformations
Data source values can be automatically added or updated using pre-defined templates, to apply consistency and standardisation, for example, translating shorthand values such as "Occ Nurse" into full descriptions, "Occupational Nurse".
Flexible Administration
Administration of Identity Management can be devolved using secured web clients, for example, Human Resource data from different organisations, can be administered by representatives from each.
Local tailoring and manual manipulation of data values in the person record is also easily provided through a custom web client.
Notification Services
All actions undertaken automatically or manually through Directory Manager™ are recorded as events. The events can trigger e-mail notifications for every aspect of the identity management process.
Reference links are provided if secondary action is required. Examples of notifications include:
- Line managers automatically notified on new staff, staff changes or issued leaver confirmations.
- Systems administrator / security managers notified of changes to staff roles / functions.
E-mail notification types and content can be customised to deliver a specific message relative to the event and include attachments i.e., acceptable user policies or registration forms.
