Keep pace with staff changes and deliver Information Security Assurance
Providing timely updates of user identity and account changes across the organisation is typically a manual activity that is:
- seldom achieved without significant manual effort
- a disruptive and consequently costly activity
- Difficult to maintain quality and consistency of staff identities
Directory Manager™Notification Service provides a simple but effective method for issuing real-time email notifications on any staff change event to anybody with an email account in an organisation, for a wide range of events, for example:
NHS Electronic Staff Record changes:
- New staff joiners, or staff leaving posts
- Staff changing roles, departments or line managers
- Staff taking maternity leave or other temporary leave of absence
- Staff returning from long term leave of absence
and / or Active Directory, automated sending of Active Directory administrative event notifications, such as:
- User accounts being created and suspended
- User being moved between OU's and or Domains
- Changes to security groups and / or distribution group membership
- Change to information in any Active Directory field
and / or changes in any other data source...
Directory Manager™ Notification Services can be employed to issue notifications on events from any system that provides an interface through which event data can be obtained, via any of the following interface technologies:
- SQL Server, Oracle, or any ODBC compliant database
- Directories Services (LDAP)
- XML interfaces and more...
Keep your organisation up-to-date
E-mail notifications content can be customised to deliver a specific message relative to the event and include attachments i.e., acceptable user policies or registration forms. Reference links can be provided if secondary action is required. Examples of notifications include:
- Line managers automatically notified on new staff, staff changes or issued leaver confirmations.
- Systems administrator / security managers notified of changes to staff roles / functions
With Directory Manager™ Notification Service, organisations take a significant step towards achieving attainment of Level 3 - Information Security Assurance (Item 306-IG7 Toolkit).
Multiple Data Sources
Directory Manager™ manages the integration of multiple data sources containing staff identities, providing the ability to compile a person identity record with data from the most reliable and best maintained sources. Once data source links are established Directory Manager automatically maintains the identity records providing a continually up-to-date identity.
Apply Data Transformations
Data source values can be automatically added or updated using pre-defined templates, to apply consistency and standardisation, for example, translating shorthand values such as "Occ Nurse" into full descriptions, "Occupational Nurse".
Flexible Administration
Administration of Identity Management can be devolved using secured web clients, for example, Human Resource data from different organisations, can be administered by representatives from each.
Local tailoring and manual manipulation of data values in the person record is also easily provided through a custom web client.
Comprehensive reporting
Comprehensive reports on all events and transactions undertaken by Directory Manager provide the assurances for Information Governance.
Reports include:
- Individual staff identity record changes
- Data transactions status and completion reports
- Timeline reports on staff data changes
- Staff listings e.g., payroll, non-payroll
Cross organisational benefits
Directory Manager™ Notification Service delivers:
- Demonstrable savings in costs and resource effort
- Reduction in Information Governance risk
- Improved business knowledge of staff functions / roles
- Increased data security and access rights validation
- Automation of staff update workflows:
- New starters
- Staff Changes
- Leavers
- Reliable and consistent staff identity management source of information
Option for Automated Account Provisioning and Management
Directory Manager™ can optionally be configured to use the externally sourced staff identity data to automate the process of provisioning and managing user accounts on Active Directory.
If required bespoke deep provisioning connectors can also be implemented with Directory Manager™ to support automated user account management requirements of any system that are utilising the following interface standards:
- Database sources (ODBC), OLE DB or ADO.NET e.g., SQL Server, Oracle;
- Applications expose provisioning services accessible via Web Services, XML (e.g., SPML), SOAP or WCF.
